A Christmas party for fifteen people in London costs roughly between £100 and £700 for the room, and the gap has almost nothing to do with how nice the venue is. It depends on whether the room is priced by the hour or on a minimum spend.

Almost every Christmas party guides are written for a larger party. If your whole team fits round two tables, most of that advice can work against you. Here is what actually changes at that size.

What does a small Christmas party cost in London?

Rooms on our London Christmas page run from £20 to £367 an hour, with £81 typical, and minimum spends can range from £100 to £1,500. For a group of fifteen, those two pricing models land in completely different places.

Take four rooms that all hold between 20 and 56 people:

Same size of group. Four rooms in the same city. The commitment ranges from £100 to £400, and the cheapest of the four is a minimum spend, not an hourly rate. There is no rule here, only the specific deal in front of you.

That is the number that decides your Christmas party, and it is the one most people skim past.

Why minimum spends can catch small teams out

A minimum spend means the room is free but you commit to spending a set amount on food and drink. If your bar tab comes to more than the minimum, you just pay the tab. If it comes to less, you pay the difference anyway.

For a party of eighty, a £500 minimum is about £6 a head and nobody notices it. For a party of twelve it is £42 a head, which is fine if you are sitting down to eat and steep if you are not.

If food counts towards the minimum spend, twenty people clear £500 without trying and the minimum doesn’t become a constraint. If it is drinks only, those same twenty people each need to spend £25 at the bar, which is three or four rounds and a much bigger ask.

Three things to establish before you agree to one:

•   Does food count towards it, or is it drinks only? This changes the maths completely and some venues only count the bar.

•   Is it per head or for the room? Some venues quote a minimum that rises with your numbers.

•   What happens if two people drop out? A minimum set on twenty and met by sixteen is your problem, not theirs.

Is hourly hire better for a small group?

Not automatically, and the table above shows why. The cheapest room on it is a minimum spend, not an hourly rate.

What hourly hire buys you is control. You pay for the room and nothing else, then decide what the food and drink costs, from a buffet and a few bottles up to a caterer. The number you commit to is fixed before anyone turns up. Four hours in the Private Hall at Meghna Grill in St John's Wood is £148, which for fifteen people is under £10 ahead for a private room with a kitchen attached. What you spend after that is your decision rather than the venue's condition.

What it costs you is the work. You are buying the food, buying the drink, setting up and clearing away. For fifteen people that is genuinely manageable, which is the thing worth knowing. It is a supermarket run and a caterer's number, not a project. At eighty people the calculation changes and a packaged venue starts earning its money.

A low minimum spend can beat both. The Drinks Area at Blame Gloria asks for £100 from Thursday to Saturday, and fifteen people will clear that on drinks without trying. That makes the room very cost effective and leaves the bar staff, the glassware and the clearing up to somebody else. It is the best deal in the table and it is not the hourly one.

So the useful question is not which model is cheaper. It is what the number actually commits you to, and who ends up doing the work.

One thing to watch either way. The headline price is not always the whole story. Some hourly rooms carry a minimum charge per booking on top of the rate, and some minimum spends have a hire fee on top of the minimum. Read the pricing section of the listing rather than just the figure at the top.

When should a small team book?

You have more time to play with as a smaller group and that is the one advantage of being small.

Groups under twenty book on an average lead time of about five weeks. Groups over eighty need much longer because there are fewer rooms that can hold them and those go first. At fifteen people you have hundreds of options in London and most of them will still be free in early November.

The second Thursday or Friday in December are two of the busiest dates of the year in every venue in the city. If your team can do a Tuesday, or a long lunch, you will get a more choice for spaces and costs.

What to check before you confirm

•   What time can you get in, and what time do you have to be out?

•   Is the room actually private, or is it a roped-off corner of a busy bar?

•   Does the minimum spend include food, or is it drinks only?

•   Can you bring your own food and drink, and is there a corkage charge?

•   What is the cancellation deadline, and what happens if numbers drop?

•   Is there anywhere to put fifteen coats?
